RESIDENTIAL PROPERTY ADMINISTRATOR
Universal Realty Group is a leading property management company in Halifax, known for quality apartments in great locations, top-tier commercial leasing services and the landmark Lord Nelson Hotel & Suites.
We are currently seeking a qualified Residential Property Administrator to provide on-site support for our apartment buildings. Our Residential Property Administrator provides exceptional customer service and maintaining effective relationships with staff, tenants, and contractors. Involves tasks such as answering tenant inquiries, conducting security checks, responding to emergencies, completing reports, maintaining logs and supporting Property Managers.
Your responsibilities will include:
- Maintain and keep accurate all tenancy information relating to address, phone numbers, contact information, insurance, parking and utilities.
- Maintain and keep up to date building information data.
- Coordinate, collect and report on the collection of all tenant billings.
- Prepare reconciliations of tenant accounts, as required.
- Assist with review & delivery of year end recovery adjustments; ensure statements are sent accordance with lease requirements and deadlines.
- Review proposed annual billings from accounting for accuracy.
- Assist with operating and capital budget preparation; complete documentation required for capital budget business cases.
- Attend client, tenant and contractor meetings as required.
- Ensure all files, including electronic files, are complete and accurate and have valid and executed documentation.
- Assist in handling of emergency situations.
- Maintain, track and report on work order status in maintenance reporting software system.
- Assist the team in all administrative areas including office management duties if required.
- Providing on-site support to the building.
The ideal candidate will have the following qualifications:
- Previous administrative experience required. Property Management experience is preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management skills, with ability to prioritize to meet deadlines.
- Experience with Microsoft Office programs (Excel, Outlook, Word).
- Experience with Yardi property management software an asset.
